You Don’t Need a Lever to Turn it Up a Notch

Do you want…ask your team what opp accountable 9

  • An easy activity to do with your team to get their input?
  • Constructive feedback from everyone during a meeting?
  • Ideas how to improve your team?

If so, this strategy will help you improve communication and reduce conflict in the workplace.  I have found that when large groups are asked to give their input, the response is not always great.  Divide your team in groups of 3 or 4 people.  There are many ways to divide groups in a creative way -ask them to find people who have a birthday in the same month or season.  Then find out if there are any team members who share the same birthday. 

Give each team a sheet with the following information on it:

 Team’s Need for Improvement

A Great Need for improvement = Great Energy Drain.
Some Need for improvement = Some Energy Drain.
No Need for improvement = Positive Energy.

Once teams have enough time to share their ideas in small groups ask them to give their best ideas to the large group.  Ask someone to write all the ideas down.  Once all the teams have given their input, start discussing each idea and prioritize which ideas to work on first.  Ask ALL team members to sign up on committees to follow through on the team’s need for improvement.   I strongly suggest that there has to be an accountability factor built into this process.  Deadlines and follow up feedback need to be part of the accountability plan.  I see the biggest mistake when groups get together and become very motivated to make changes and there is no follow up or resolution.  Remember when people respect the process, they resolve issues and get outstanding results.

Enhance the Workplace to Increase the Work Pace

Tom, a client of mine exhibited the qualities of a leader on fire by trusting his team to run meetings their own way.  He knew that his meetings had to improve.  His team was bright and creative yet the meetings were not.  He told them that they could be in charge of  future meetings.  Tom was still going to give them quick updates at the end of the meetings.

Tom was pleasantly surprised when Sue, one of his quietest employees volunteered to lead the next meeting.  This meeting was the best one of the entire year.  Are you asking  yourself what Sue did?  She asked everyone to write down their goals and how they each needed support to reach these goals.  Sue wrote each goal on a piece of large paper.  Everyone put down their name on the sheet of paper where they could help their colleagues overcome obstacles.  

Tom was so proud of Sue and told the president of the company that the entire team gave her a standing ovation after the meeting.  The results were apparent.  Each team member is now planning their own creative way to lead the meeting.  Tom stirred things up.  He changed the status quo with his strong and creative team.  I told him how impressed I was with the fact that he knew that his meetings needed help.  Tom is an excellent leader who could give his own workshops on employee engagement!

Here are 2 more ideas on how to enhance the workplace to increase the work pace.
Ask yourself…

1.  What negative behavior am I letting slip by?

               Nip negativity immediately since it is extremely contagious

2.  What rules or policies do we need to get rid of?

                Many teams have outdated policies.  Outdated rules ultimately hurt morale and hinder customer service.

Hear Others Out & Bring Good Ideas In

  • Is there more texting than listening in your workplace?
  • Are your colleagues making or answering calls during important face to face meetings?
  • The important question is…Are you listening at work?

If you answered “yes” to any of these 3 questions, please don’t despair…We are ALL guilty of not listening or focusing on others at times.  Listening – really listening – is a skill that needs to be learned and honed. 

 

Start paying attention at your own workplace and see how you and others can improve in these areas.  Bring up this topic at your next meeting.  I encourage my clients to discuss the tips below and many times they start to groan (groaning is a good sign!) when I ask them to pay attention to these tips.  I realize that they are obvious.  I also know that mistakes happen as a result of NOT following these 5 ideas.  If everyone is using them…then why is communication such an issue for most workplaces?  I always ask clients what is it costing you NOT to fix communication.  They answer this question with a sigh and a dollar amount on lost productivity…it really is mind boggling.  So, please pay attention to the obvious and watch your bottom line improve!

Follow these tips:

1. Don’t interrupt

2. Don’t judge

3. Understand contributions from the speaker’s point of view

4. Summarize

5. Reflect back the ideas and feelings from others

 By turning off your internal self talk (“I can’t believe she is saying this.” or “ I wish he would stop telling his long winded story.”) you will become a master communicator.

There’s NOT a Law Against Sharing Ideas with Your Team!

You either have a team that is open and sharing OR one that needs some serious   help to reduce conflict in the workplace.

Do you experience the following behaviors from your colleagues or team leaders at meetings?

 

 

  • Silence
  • Rolling eyes
  • Sarcasm
  • Power struggles to prove that “they” are right
  • Leaders who don’t control long winded people

    If so, there is something that you can do especially if you are tired of going to meetings that are a waste of time! Make an appointment with your team leader and suggest ideas on how future meetings can be more productive. You may be saying, “Joyce, I can get into trouble if I do that!”

You may be correct. Everything that I write about in Communicate with Impact Weekly is all about taking risks and making improvements. The good news is that you may receive the respect from your leader by being open and honest.  If you don’t receive positive feedback, at least you took a chance to make suggestions. 

I have several new assessments that show my clients how to prepare and conduct successful meetings. I will share more ideas in  future articles. 

If you are a leader ask yourself and your team…”Are we communicating openly with each other?”

Strong team communication means that:

  •  Members express themselves openly and honestly
  • Warmth, understanding and acceptance are expressed
  • Members listen actively to each other
  • Differences of opinion and perspective are valued
